This is a fantastic opportunity to work within one of the North West’s leading architecture practices. you will work closely with the Partners as well as the wider team allowing you to develop a sound knowledge of the practice and clients in order to make an effective contribution to the practice marketing activities.

The successful candidate will ideally have some experience with bid writing and a strong understanding of business development.

Your responsibilities will include supporting the bid process, marketing and PR, website and social media, internal and external communications and QA Compliance.

Experience within the build environment is advantageous.

Responsibilities

Bid Co-ordinator

Work closely with the Partners as well as other members of the management team the role involves:

Checking the procurement websites for new tenders and review, select, and circulate relevant OJEUs and potential business opportunities to the Partners for a decision to bid or not.

Managing the bid response process to ‘Expressions of Interest’ (EOI’s), ‘Pre-Qualification Questionnaires (PQQ’s), ‘Invitations to Tender’ (ITT’s), ‘Request for Quotation’ (RFQ’s), ‘Request for Tender’ (RFT’s) or ‘Request for Proposals’ (RFP’s) etc under the direction of the Partner leading the bid.

Producing marketing and bid collateral.

Developing case study stories describing our projects and bios promoting our design talent.

Creating, assembling and delivering high quality bid and tender submissions with minimum supervision and ensure that they are submitted on time.

Maintaining and updating the library of responses, case studies, images and related content for use in bids, tenders and awards including CV’s and project sheets.

Contribute to continuous improvement and streamlining of bid preparation processes

Recording bid feedback and outcomes.

Developing a sound knowledge of the Practice’s portfolio of projects and clients in order to make an effective contribution to the Practice’s marketing activities.

Managing the visual image database, its content and keywording and uploading content.

Updating the Leads/Prospects spreadsheet.

Accreditation and Memberships

Ensuring compliance with requirements of each organisation, carry out regular updating and provide evidence of compliance:

  • Acclaim
  • Investors in People (IIP)

QA & Compliance

Ensuring that the Practice complies with current legislation and statutory obligations, including health and safety.

Creating, updating and maintaining Practice Polices.

Maintaining and reviewing records of insurances.

Managing and updating the office protocols in accordance with the Quality Management System.

Maintaining, reviewing and updating the Quality Management System in accordance with current standards.

Managing and organising routine audits of the Quality Management System.

Liaising with external certifying bodies in respect of the Quality Management System (when adopted).

Marketing & PR

Understanding the brand standards, messaging guidelines, and corporate culture and act as a steward and guardian of the firm’s brand in all its marketing communications.

Developing a sound knowledge of the Practice’s portfolio of projects and clients in order to make a significant contribution to the Practice’s marketing activities.

Creating and constantly updating the Practice’s Marketing Plan.

Providing support to the Partners as directed with strategic business development initiatives.

Preparing reports and proposals for marketing & communication initiatives at the monthly marketing meeting.

Managing and coordinating the production of effective marketing literature and communications for print, website, intranet, press and digital media that enhances the profile and reflects the philosophy and approach of the Practice.

Writing and distributing press releases 1 per month.

Preparing and distributing by email the Practice newsletter on a six monthly basis.

Record and maintain press coverage and other relevant industry news articles.

Maintain the Practice’s CRM Nimble database: Input, cleanse and update a strategic database to drive growth, improve engagement and track success of marketing and sales activities.

Developing a sound knowledge of the Practice’s portfolio of projects and clients in order to make an effective contribution to the Practice’s marketing activities.

Managing the visual image database, its content and keywording and uploading content.

Contributing content and administration support to the Practice’s social media profiles and activities in line with our social media policy.

Website & Social Media

Providing detailed analytics on movement and success through company website, and social media channels.

Use Digital Marketing platforms (Twitter, Instagram, LinkedIn) to email out news, event invitations, and blog posts.

Assist the Partners and staff in co-ordinating and directing the digital marketing themes and content on a monthly basis.

Maintaining and updating the Practice’s website.

Manage the Practice’s social media profiles.

Internal Marketing Communications

Facilitate internal marketing communications via a monthly short lunchtime event or the monthly project update on Friday afternoons.

Interview project design teams to uncover stories and insights behind our work.

Provide effective internal communications that raise the profile of the Practice to its staff.
